Overview
The Office of Student Conduct and Community Standards utilizes Maxient for email correspondence to students.
If a letter is sent to you, you will initially receive an email that looks like the image below. Despite the warning that may appear highlighted, communication from notifications@maxient.com is legitimate. It is possible that emails sent on behalf of Maxient may flag as potential spam or phishing. We encourage all students to check their spam folder if they are unable to observe a letter in their inbox or if they are expecting correspondence and haven’t received it within a timely manner.

A letter from the Office of Student Conduct and Community Standards is official correspondence on behalf of Buffalo State University. Clicking on “Pick up your letter” in the email correspondence sent to you takes you to a sign in page. In order to access the contents, students must type in their BANNER ID underneath their name.

Make sure your name is accurate before entering your BANNER ID.
To confirm the validity of the email communication you received, you may contact the Office of Student Conduct.
Contents of the Letter
The initial letter you receive will depend on the nature of the concern provided to the university. There may be alleged violations of the Code of Student Conduct, which are issued in response to an incident that has occurred. These allegations represent the University’s concerns based only on the information provided to our office. Students or student organizations/groups have not been found responsible and will have an opportunity to respond to the allegations during a conduct meeting with their assigned hearing officer or conduct board.
A student may also receive an initial letter where they are asked to meet with staff from the Office of Student Conduct and Community Standards, as they may have additional information to provide about the concern provided to the university.
Each letter contains important information, which includes:
- Date and time of alleged incident
- List of alleged violations of the student code of conduct, as assigned by a hearing officer
- Date, time, and location of scheduled hearing
- Information regarding students’ right to reschedule at least 24 hours prior to hearing and right to an adviser
- Contact information of hearing officer if there are any questions (NOT to call and defend your case, that occurs during the conduct hearing and ONLY the conduct hearing)
Meeting Scheduling
For most conduct-related matters that occur in the residence halls, students will likely meet with a hearing officer that is a member of Residence Life or Student Conduct. These staff members will indicate a time, date, and location for the meeting in an initial letter directly to the student. Students should contact their assigned hearing officer at least 24 hours prior to the scheduled hearing if they need to reschedule their appointment. Meetings are scheduled based on the student’s academic schedule that hearing officers can access via Maxient. For those who do not attend their meetings, hearings will be held in their absence and are unable to be rescheduled after the scheduled hearing date.
What to Expect
When you arrive for your conduct hearing, the hearing officer will ask for initial identifying information (i.e. Name, Banner ID, Building and Room Number if residential student). The hearing officer will then read a review of the incident report and review any supporting documentation (if applicable).
After the hearing officer finishes reviewing the materials, the student will have an opportunity to communicate their perspective of the alleged incident, add additional information, and respond to the alleged violations of the student code of conduct. The hearing officer may have further questions as well as have a conversation with the student regarding how the alleged violations have/can impact the campus community.
Students will then be asked to respond to each of the alleged violations of the student code of conduct by responding to each charge as “Responsible” or “Not Responsible”. The hearing officer will then explain the next steps regarding the case and the tentative timeline for when the student can expect a decision letter (the hearing officer will NOT make a final decision nor determine sanctions during the hearing). The student will have a final opportunity to ask any further questions before the hearing concludes.
